Bookkeeper

Overview:

The bookkeeper is responsible for maintaining accurate financial records, including accounts payable, accounts receivable, payroll, and general ledger entries. They work closely with the Executive Director to ensure financials transactions are recorded correctly and in compliance with regulations. The bookkeeper also assists in preparing financial reports and statements for internal and external use.


Job Responsibilities: 


Manage accounts payable and accounts receivable processes, including invoice processing, bill payments, and customer collections.


Reconcile bank statements and monitor cash flow to ensure accuracy and completeness of financial data.


Maintain accurate and up-to-date general ledger entries, including journal entries and adjustments.


Process payroll and related tax filings, ensuring compliance with payroll regulations and accuracy of employee records.


Prepare financial reports, such as balance sheets, income statements, and cash flow statements, on a regular basis.


Assist in the preparation of budgets and financial forecasts, providing insights into financial performance and trends.


Collaborate with auditors and tax professionals during audits and tax filings, providing necessary documentation and support.

Assist Executive Director with evaluating all potential employees for appropriateness for potential opportunities including assistance with background checks in accordance with the funding source of the program each employee is being assigned to


Stay informed about changes in accounting standards and regulations, implementing updates as necessary.

Assist in organizing volunteer recognition and education.


Maintain confidentiality of financial information and ensure data security measures are in place.


Provide support to the Executive Director and management as needed, contributing to the overall financial health of the organization.


Assist Executive Director with data collection for monthly presentation to the Board of Directors.


Provide relevant reports for programs weekly/monthly/quarterly/annually to Director as needed.


Responsible for program growth through development of relationship with community partners, funders, and donors


Review and analyze statistical and program data in relationship to the raw data of new/present/lost neighbors/volunteers/donors.

Maintain comprehensive digital files of all documents, forms, and acknowledgements.


Responsible for optimized utilization of the database ensuring full understanding and supporting team when necessary.


Assist Executive Director in preparing grant funding application documentation including financial reporting and budget reporting as requested.


Assist Executive Director in preparing Grant funding documentation and reporting for already awarded grants. 


Computer skills: 

1. Microsoft office

2. Quickbooks

3. Microsoft Excel 


Other Specific Software and/or applications: 

Proficiency of payroll processing and tax regulations 

Paychex

VolunteerHub and eTap databases


Specialized Training: 

1. BA in Accounting, Finance, or related field.

2. Strong organizational and time management skills with the ability to prioritize tasks effectively.

3. Commitment to maintaining ethical standards and confidentiality in handling financial information.

4. Bilingual a plus.
